Digitizing Your Paper Clutter with the NeatDesk

neatdeskTo be honest, I fell in love with the NeatDesk before I even tried it, and I was a little afraid that the real thing wouldn’t live up to my expectations.

But it did. It really did!

First, let’s just address the elephant in the room. Yes, the NeatDesk is expensive. There are plenty of cheaper scanners on the market — and I’ve tried many of them — and you’ll have to make an upfront investment if you go with this one.

The cost may not be for everyone, but if you have a lot of paper and your desire is to digitize it and get rid of it once for all, I strongly believe this is the best system available.

Here’s why:

  • The NeatDesk is more than a scanner because it comes with the proprietary NeatWorks program that helps you classify and organize documents by pulling dates, names, addresses, amounts and more from your business cards, receipts and documents.
  • The automatic paper feed allows you to load a stack of documents, receipts or business cards rather than having to scan each one individually.
  • You can scan your documents as they come in and immediately organize them or save them in an inbox for later. You can then save them as JPGs or PDFs, send reports to other popular programs or sort and organize them within NeatWorks.
  • The footprint of the scanner is smaller than most other scanners, without sacrificing scan quality. And it’s sleek design means you can leave it out on your desk for convenient access.

So who is the NeatDesk for?

Small Business Owners.

For small business owners who don’t have an administrative team to handle pesky details like bookkeeping, records and more, the NeatDesk takes the stress out of managing your files by allowing you to quickly scan and organize all of your documents so that they’re available to you and your accountant as needed.

Homeschoolers.

As homeschoolers, ee generate a lot of paper, and keeping good records is important to us so that we’ll be able to provide documentation of the things we’re doing if circumstances change. But filling up a binder a year for each of the girls doesn’t sound very realistic either. With the NeatDesk, I can scan things to have a permanent record of them long after the original is thrown away.

You.

Even if you’re not a small business owner or a homeschooler, if you’re determined to go paper-free, the NeatDesk may be for you. I’ve scanned insurance documents, medical records and receipts, projects and recipes that I’ve pulled out of magazines and more.

    I think I would LOVE the NeatDesk, but the cost is WAY more than I could justify spending on a scanner. I actually have a scanner on my Christmas list! :)

    This is something I definitely could use, unfortunately it is cost prohibitive for me currently!  Perhaps next year though!

    I just love the NeatDesk, and it would be great for me and my husband. The price is a little high for me to justify right now, however I have considered the NeatReceipts for business, as it has exactly what I need and the price fits more in line with what I can reasonably spend.

    For about 1/4 the price, I bought a similar machine–that prints and copies up to 8×14. It has a photo card reader too. Unfortunately, the scanner is 1 page at a time and all the organizing capability is really up to me. With Microsoft OneNote, I can organize easily in a way that makes lots of sense for me. I don’t think I’d want the NeatDesk…I just don’t see having a single purpose machine taking up space in our tiny home. EVERYTHING must multitask around here.

      Thanks for chiming in, Kathleen! So I gotta ask (and I’m truly curious…not arguing!), would you not consider the whole “organizes documents for you” a second function of the machine? Or is it just that you already have a system set up, so it’s an unnecessary function?

    My husband bought me a NeatDesk for Christmas last year (we’re truly romantics when it comes to gift giving)…and I can’t even begin to explain how awesome that little machine is.  I love that I can put all of my documents in, push a button, and within seconds my info is scanned and sorted on my computer.  I tried using a normal scanner, but it took forever, and my info wasn’t keyword searchable like it is with Neat.

    Bottom line: yeah, it’s pricey.  But if you can get over that one hurdle, it’ll save you time and preserve your sanity.

    I just received a new desk and extra large filing cabinet as a gift, and am getting myself organized, so I don’t think I could justify this cost right now. I could see my mother-in-law using it, though, and benefitting from the software. I’d have to see if it’s truly easy to use, though, because she has a brain injury and tends to buy expensive things she can’t figure out, then puts them in the basement! I’d enter a giveaway, though, for sure. (hint, hint)

    It’s definitely out of my price range but I love the idea!  Personally I think it would really help me get a handle on all the school papers (test, worksheets, etc) and artwork/projects that come into the house.  Instead of saving it all for the school year & then picking a few to keep, I could scan everything as soon as it comes out of the backpack & decide what to print & keep.  Brilliant!

      Yep! And even if you keep it allllllllllllll, it doesn’t take up any extra space in your home once it’s digitized!

    Amazing, but I just saw this at http://www.woot.com. It’s a one-day only sale site and the item is refurbished. Looks like the same thing, but the price is a bit cheaper. What I don’t understand is if this is good for just the paper statements. If you receive your bank or utility statements online, is there a way to get them onto the NeatDesk?

      Wow, awesome deal! It’s refurbished, but I think it’s probably still a great investment! You CAN import PDFs and images into NeatWorks, so you should be able to organize online bills there as well!

    @400, that’s a chunk of change right now. BUT….I.SAVE.EVERYTHING. paper is my worst enemy. I save more paper clutter, than any other clutter. It can seriously get out of hand! This would streamline all the receipts that come in, all the homeschool forms and stuff, and all the OMGosh, so cute, papers the preschooler brings home! Not to mention the paper letters that our missionary sends home! I have a scanner, but I have to do each one/side separately and tag/label it myself. This would be heaven sent!

    This sounds soooo GREAT – Could I use it to organize the paperwork for my son’s household stuff and my daughter’s family, too.  Can separate ’Desks’ or ’File Cabinets’ be set up? 
    Or Can it just be hooked up to their computer(s) and it’s good to go??

      Yes, you can create as many different folders — and then tags within those folders — as you want! Or you could install the software on multiple computers and just pass the scanner around as needed!

    I own the neat desk and don’t use it! I think it would be great…but I am not so savvy in the tech dept and it was overwhelming for me to try to figure out….they didn’t have any support to help me get going, so it sits unplugged in another room. Anybody want to  help me get going with it? My husband is a paper saver of huge proporiton!

    I know the price is high but think of all the time saved and the clutter saved and the hassle of organizing files and buying supplies–I could go on and on–we already spend our hard earned money on that stuff—I can think of a million ways to afford it and the price tag isn’t that big if taken in small increments!

    Thanks for sharing this…I will have it in a few months!  Two if I do what my goals indicate!

    I could really use this to store & organize the magazine articles I want to keep. Right now I’m just tearing they out & putting them in sheet protectors in 3 ring binders. Although I’m so behind on doing that that the magazines are just stored in plastic totes. Too bad the NeatDesk is so expensive.

      I’m very behind in this too, but I am very happy with the ones I have scanned and organized! You’re right, though, it’s a bit expensive for just scanning magazine articles! :)

    I have a tremendous amount of medical paperwork I need to organize . I bought the neat system but have had trouble setting up files .
